What information we collect and why
- The Club collects a range of personal data as part of its legitimate activities
- General Enquiries – The club collects personal data when it receives enquiries about the club and its activities. This personal data may be collected through the submission of an online enquiry form, through the submission of an email, by telephone or postal correspondence.
- Membership Information – The Club collects personal data in order to process and manage membership of an individual in the Club (‘Member’). This personal data is collected through the completion and submission of membership application forms.
- Registers of activity participation – The Club collects personal data in order to manage the administration of club activities. This data is collected through the completion of electronic registration form, paper registers, and responses to emails.
- Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for collecting and processing this information are:
- Your consent. You are able to remove your consent at any time. You can do this by contacting us using the details set out below.
- We have a contractual obligation.

How we protect your personal data
- We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorised alteration or destruction.
- Please note, however, that where you are transmitting information to us over the internet, then given the internet is not a secure medium, we cannot definitely guarantee the security of this information.
- For any payments which we take from you online we will use a recognised online secure payment system.
- We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.
Who else has access to the information you provide us?
- We will never sell your personal data. We will not share your personal data with any third parties without your prior consent (which you are free to withhold) except where required to do so by law.
- We may pass personal data of Club members to third parties who are service providers, agents and subcontractors to us for the purposes of completing tasks and providing services to you on our behalf (e.g. coaches and instructors). However, we will only disclose the personal data that is necessary for the third party to deliver the service. The Club may pass club member’s personal data to British Canoeing where required to do so in relation to the Club’s affiliation and insurance.
How long do we keep your information?
- We will only hold your personal information for as long as is reasonably necessary for the purposes set out in this Privacy Notice and to fulfil our legal obligations.
- We securely destroy all financial information once we have used it and no longer need it.
